Learning and Events Co-ordinator (Maternity Cover)

  • Children in Scotland’s office is in Edinburgh. We have introduced hybrid working based on trust and flexibility. As long as business needs are met, individuals have flexibility in terms of where they work. 
  • £26,251.90 pro-rata per annum
  • part-time, 3 days, 21 hours per week (of a 35 hour working week).
  • Fixed term to 31 March 2025

About the role

As a Learning & Events Coordinator you will have key role in the successful design, delivery and evaluation of the Children in Scotland Learning Programme.  This includes jointly creating a sector-leading, innovative and financially sustainable programme that supports and connects the children’s sector workforce.

As a Learning & Events Coordinator you will take a lead on the logistics of the delivery of the programme, ensuring that everyone has a good learning experience that is in alignment with Children in Scotland’s values and approach to accessibility.

This is an exciting opportunity to work for a national children’s charity, focused on making a positive difference to the lives of children across Scotland through the learning opportunities we provide.

We are looking a positive, proactive and motivated team player to work with us on the development and delivery of our Learning Programme.

Working in a busy, values-driven environment, this role provides a fantastic opportunity to work with Children in Scotland staff, partners across the sector, practitioners and children and young people themselves to support all our work and deliver our learning and events activity.

Key Responsibilities

  1. Operational
  • Coordinating the administration of the Learning Programme which consists of online and in-person opportunities across the:
    • Open learning programme
    • Commissioned training
    • Annual conference and other key events
    • eLearning Hub
    • Member events
  • Responsibility for administration of the Asana project management tool including delegation of tasks
  • Responsibility for managing the events inbox, responding to queries, or delegating to other staff
  • Coordinating the logistics for online and in-person events including working with partners and stakeholders, scoping IT and venue requirements, embedding accessibility at all points, room set up and catering
  • Providing support to trainers/contributors, including IT, booking travel and accommodation, and on-the-day assistance such as introducing the event
  • Facilitation of events and learning opportunities
  • Providing excellent customer service with clear pre-event information, support during events and post-event follow up including evaluation and resources
  • Responsibility for Eventbrite administration and licencing
  • Lead on the scoping of new L&E resources to support effective delivery (online and in-person)
  • Contributing to the development of the strategic plan and/or service plan, and delivery of the service/team activities
  • Contributing to the management of contracts for external partners, and contributors
  1. Financial
  • Responsibility for ensuring that events invoices are processed within agreed timescales
  • Providing support to ensure the team activity operates in line with agreed budgets
  • Supporting team in income generation opportunities by contributing service/team information as required.
  1. Leadership
  • Chair the weekly Operations meeting
  • Representing the Learning & Events team on Children in Scotland working groups and meetings as required.
  • Contributing to the Learning & Events team support of other Children in Scotland teams and service/project delivery.
  1. Monitoring, evaluation and reporting
  • Collating and analysing Learning Programme data including delegate, financial, evaluation and marketing information
  • Supporting improvement in our processes and approaches, learning from monitoring and evaluation findings
  • Contributing to internal and external reporting including team, department, Leadership Team, Board and funder requirements as needed.
  1. Internal activities
  • Contributing to ensuring the Learning & Events team’s adherence to Children in Scotland’s practices, policies and procedures
  • Contributing to ensuring the principles of equality and diversity are promoted and embedded throughout all organisational activities.
  • Engaging with internal communications processes, ensuring colleagues are aware of Learning & Events team activities
  • Contributing to the promotion of children and young people’s participation and engagement
  • Maintaining awareness of Children in Scotland’s policy positions.
  1. External activities
  • Developing and maintaining effective working relationships with partners and other key stakeholders
  • Remaining up-to-date on key issues and activities pertinent to the Learning & Events team and wider organisation
  • Contributing to external communications as agreed.
  1. Other
  • This post will require attendance at some in person meetings.
  • This post will also require occasional travel across different areas of Scotland, the UK and abroad, and may also require attendance at events with occasional overnight stays.
